The lifecycle

What does subscription management software actually manage?

A B2B subscription is not a gym membership. It is a negotiated contract that will change several times before it renews. Bunny tracks it through five states and acts on every transition.

  1. Trial

    Starts without billing. Converts to paid or expires when the trial ends, per the plan’s settings.

  2. Pending

    Signed ahead of its start date. Going active can trigger tenant provisioning in your app.

  3. Active

    Billing on the account’s billing day. Upgrades, add-ons and seat changes happen here.

  4. Canceled

    Will not renew. Outstanding usage is invoiced; it can be reinstated with a quote.

  5. Expired

    Term ended without renewal. Evergreen subscriptions never get here on their own.

Every change is a quote, so every change has a history

In Bunny the only way to create or change a subscription is through a quote — whether a rep builds it in Bunny CPQ or a customer checks out in the portal. That gives each account a complete transaction log of what changed, when and at what price, and it means the invoice, the renewal and the revenue schedule all start from the same record. It is the core of SaaS billing done properly.

Upgrades, downgrades, add-ons and trials, priced correctly

Changing a subscription is easy. Changing it and getting the next invoice right is the job.

Upgrades and plan changes

Move a customer to a new plan or billing period mid-term. The change is prorated against the current period and lands on the next invoice as its own line.

Downgrades with guardrails

A checkout validation webhook asks your app before a self-service change goes through, so a customer with ten active users cannot drop to a five-user plan by accident.

Seats and quantities

Change quantities with an effective date and Bunny prorates to the end of the period. New subscriptions are co-termed with the ones the account already has.

Add-ons

Plan add-ons, such as premium support, that only attach to compatible plans, and feature add-ons that customers switch on with a toggle in the portal — small upsells without a sales call.

Trials

Allow trials per price list: on for the monthly self-serve plan, off for the annual enterprise one. Trials convert or expire on their own, and a trials dashboard tracks conversion.

Renewals and price changes

Evergreen plans renew automatically; negotiated ones get a renewal quote. Catalog price changes never silently rewrite a contract — apply an uplift or the latest catalog price only where you choose. See renewal management.

The next term bills the full new quantity, the upgrade is already counted as expansion in your MRR movements, and nobody had to work out the proration in a spreadsheet.

Customer self-service

A self-service portal that works for custom-priced customers too

In most billing setups, only list-price customers can self-serve. Your enterprise accounts, the ones most likely to expand, end up emailing their account manager to add five seats.

What is subscription management software?

How does Bunny handle upgrades and downgrades?
Sales teams change a subscription through a quote, which prorates the change against the current period. Self-service customers can change plans, billing period and quantities in Bunny's customer portal or in React components embedded in your app, if you enable it in the product catalog. A checkout validation webhook lets your app block a downgrade that does not fit, such as moving to a 5-user plan with 10 active users.
How does proration work in Bunny?
Changes are prorated against the current billing period. If an annual subscription that started on January 1 adds users on April 1, the new users are charged for the remaining nine months. New subscriptions on the same account are co-termed with the existing ones so the customer is not buried in invoices.
Can customers manage their own subscriptions?
Yes. In Bunny's customer portal customers can change quantities, switch plans and billing periods, toggle feature add-ons, cancel or renew where you allow it, see usage, update billing details and payment methods, and pay invoices. That includes customers on custom negotiated pricing.
Does Bunny support free trials?
Yes. Trials are switched on per price list. When the trial ends, the subscription either converts to paid automatically or expires, depending on the plan's trial settings, and a trials dashboard shows conversion by plan and source.
What happens when a subscription is cancelled?
A cancelled subscription is not renewed, and any outstanding usage-based charges are invoiced. Because every change in Bunny goes through a quote, the cancellation sits in the account's history alongside every other change.
Do price changes in the catalog affect existing customers?
Not automatically. Charges are copied from the catalog onto each subscription, because each account is its own contract. You choose per price list whether renewals keep the contracted price, apply a percentage adjustment, or copy the latest catalog price, which suits self-service customers.
